Job Description Job Description We are looking for a highly organized and bilingual Administrative Assistant fluent in both English and Spanish to join our team in San Rafael, California. This long-term contract position is ideal for someone who thrives in a dynamic environment and enjoys providing exceptional administrative support. The role involves managing various office tasks, facilitating communication, and ensuring smooth day-to-day operations. Responsibilities: • Provide comprehensive administrative support, including preparing reports, maintaining schedules, and handling confidential records. • Manage calendars by scheduling meetings, booking appointments, and coordinating events. • Perform general office tasks such as filing, data entry, and ordering supplies to maintain efficient operations. • Act as a communication liaison between team members, clients, and vendors, ensuring timely and accurate information exchange. • Answer inbound calls and assist with receptionist duties, delivering excellent customer service. • Support team members with various clerical duties and special projects as assigned. • Ensure all administrative tasks are completed accurately and on time, adhering to company standards. • Utilize Microsoft Office Suite to prepare documents, spreadsheets, and presentations as required.• High school diploma or equivalent; additional education or certifications are advantageous. • Fluency in both English and Spanish, with strong verbal and written communication skills. • Minimum of 2 years of experience in an administrative support role. • Exceptional organizational skills and attention to detail. • Ability to effectively manage multiple tasks and prioritize workloads in a fast-paced environment. • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook. • Strong interpersonal skills and a customer-focused attitude. • Previous experience in receptionist duties or data entry is preferred.
